This is the part most vendors do not talk about, and it is the most important one. The handoff has to be smooth:

  1. The customer does not feel dropped. They get a message: “I’m passing you to Dana, she’ll get back to you within the hour”.
  2. Dana gets the whole conversation, not just “a customer is waiting”. She sees what was asked, what was answered, what the customer needs.
  3. The conversation returns to the agent when Dana is done. Reminders and follow-up continue automatically.

Without these three steps, a smart agent turns into an annoying phone menu.

What needs to be ready first

An agent is the top layer. It is exactly as good as what sits underneath it.

How long it takes and what it costs

A basic agent (replies, filtering, booking a meeting) goes live within two to three weeks, assuming the CRM and calendar already exist. Connecting payment processing and other systems adds time depending on the number of connections.

The price depends on what the agent needs to do, not on how “smart” it is. A half-hour discovery call is enough to give an accurate estimate.
